The Director of Operations and Admissions fulfills the mission of Calvary Christian School by planning, guiding, and evaluating the school's admissions efforts and performing various secretarial, clerical, and administrative duties in support of the school's operation and support of the principal and staff. The director is a motivated quick learner able to work independently and in a fast-paced environment. Additionally, this position will be responsible for recruiting students for admission to Calvary Christian School.

Main Job Tasks and Responsibilities
  • Fully manage and track enrollment and admissions process from inquiry to enrollment.
  • Greets scheduled visitors and conduct to appropriate area or person.
  • Submit electronic requests to Media Dept. for sound, equipment, personnel, printed items, bulletin announcements, etc.
  • Submit electronic requisitions for rooms, vehicles, and booth reservations.
  • Prepare mailings/mail merges (letters/postcards/emails).
  • Disseminate information and follow up with prospective volunteers.
  • Organizes and maintains file system and files correspondence and other records.
  • Orders and maintains supplies and arranges for equipment maintenance.
  • Provides backup for receptionist, as needed.
  • Assists with work overflow from other departments.
  • Attend outside enrollment functions
  • Maintain records on current and prospective students.
  • Assist the principal in creating an annual report for all stakeholders each November.
  • Collaborates effectively with the principal, Parent Ambassadors, and school associations and serves as volunteer coordinator
  • Represent and maintain the school’s image and reputation
  • Prepare for the upcoming school year during the summer, including calendar, scheduling, handbooks, new family meet the principal events, and summer open house events.
  • Part of the administrative team that develops school policies and procedures
  • Oversees continuous enrollment process for current families
  • Prepares admission material, including but not limited to admissions packets, postcards, flyers, and other marketing materials, by working closely with the Calvary media department
  • Create and manage social media posts and school advertising for enrollment
  • Initiates the new student cumulative record during the enrollment process using FACT SIS
  • Maintains the accuracy of the school’s student/family database and serves as the school resource for questions/training for parents and teachers
  • Manage school supply lists
  • Manage spirit wear store
  • Communicates effectively with the faculty and staff and keeps them informed of upcoming admission
  • Organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, and safety.
  • Coordinate school-wide admissions events, such as Open House, Back 2 School Fair, shadow days, tours, and meet the principal dates.
  • Assist with tuition and fee structure for the upcoming school year
  • Demonstrates professionalism in conduct, demeanor, and work habits
  • May be required to work some nights and weekends
  • May perform receptionist duties such as answering the phone, greeting, and routing visitors
  • Other duties as assigned by

Education and Experience
  • Bachelor’s degree preferred
  • 2 years of Admissions or education related field preferred
