Main Job Tasks and Responsibilities
- Fully manage and track enrollment and admissions process from inquiry to enrollment in FACTS SIS.
- Creates marketing materials for enrollment, tours, and social media including but not limited to admissions packets, postcards, flyers, and other marketing materials
- Organizes and maintains the student file system on each student from application to enrollment to withdrawal.
- Understands state requirements for student enrollment and records.
- Attend outside enrollment functions in the community to bridge feeder schools for Kindergarten, 6th grade, and high school.
- Assist the Head of School in creating an annual report for all stakeholders each November.
- Collaborates effectively with the Head of School, Principals, parents, teachers and school associations.
- Represent and maintain the school’s image and reputation professionally.
- Prepare for the upcoming school year during the summer, including admission events; Boo Hoo Yahoo, Back 2 School Fair, new family meet the principal events, open house events.
- Oversees the continuous enrollment process for current families in coordination with the school business department.
- Initiates the new student's cumulative record during the enrollment process using FACT SIS
- Creates and oversees classroom back-to-school supply lists.
- Communicates effectively with the faculty and staff and informs them of upcoming admission events.
- Demonstrates professionalism in conduct, demeanor, and work habits
- May be required to work some nights and weekends
- Manages room reservations for admission events and needs
- Other duties as assigned by the Head of School
Registrar Duties
- Maintain accurate student records, transcripts, and enrollment documentation in compliance with school policies and state regulations.
- Oversee student data integrity within the Student Information System (FACTS, PowerSchool, or similar).
- Process enrollment changes, withdrawals, and transfers promptly and accurately.
- Prepare official transcripts, report cards, and academic records for internal and external requests.
- Ensure confidentiality and secure handling of student information.
Academic Operations
- Coordinate course registration and scheduling for grades PreK–12.
- Support graduation audits and verify academic requirements for seniors.
- Manage grade reporting cycles and assist teachers with SIS data entry and corrections.
- Generate academic reports for leadership, accreditation, and compliance
Education and Experience
- Bachelor’s degree
- Experience in admissions, registrar or school administration roles
